Workflow Builder Visual Editor in Comala Document Management for Cloud offers several easy-to-use options to customize the appearance and functionality of workflows within a space. In this video, let's see how you can customize your workflow in Comala Document Management Cloud using the Workflow Builder Visual Editor.\n\nLog into your Confluence and open any space where you want to build a new custom workflow or edit an existing workflow.\n\nGo to Space Settings and click Comala Document Management under app links. You can see the Workflow Templates available for this space. You can also create and configure a new workflow.\n\nFor this video, let's select an existing Custom Workflow.\n\nNow, click the Edit icon from the actions options to edit this workflow with the Visual Editor.\n\nThe Workflow Builder Visual Editor opens with the selected space workflow.\n\nThe Visual Editor has two main sections, Workflow Panel and Workflow Navigator.\n\nIn the Workflow Panel, you can edit an existing state or add new states, add or edit the workflow or parameters, and edit or add new workflow triggers.\n\nThe Navigator Panel displays the visual flowchart for the workflow in the Navigator Panel. For this custom workflow, the Visual Builder displays the following, the workflow name, workflow elements, the individual workflow states, and a visual workflow diagram.\n\nOpen the Workflow Editor by selecting the workflow name in the Workflow Panel and clicking the Edit icon.\n\nEdit the workflow name and the description as required.\n\nNow edit the workflow states. This custom workflow has three states, Review, Rejected, and Approved. You can edit the existing state or add a new state as required. For this example, let's edit the Review state. There are three transitions and one approval in the review state. Click Transitions to view and add transitions for this state. Edit transitions as required.\n\nNow to see which approval is set, click the Review state and then on Approvals.\n\nYou can see all the approvals for this state. In this case, there's only one approval. Click the Approval button and the Edit Approval Panel will appear. You can edit the approval's name, change reviewer settings, and automatically assign users or groups. Click Advanced options if you require users to electronically sign for document approvals or set any custom action labels. Once the required changes are done, click Apply. Now click Save in the Navigator Panel to save your custom workflow.\n\nNow test the changes made to this workflow. For example, open any document in your space that needs approval.\n\nThe document is now in the Review state, which has a content review named Approval. The reviewer can simply decide whether to approve or reject the content.\n\nThe Approved state in this workflow was defined as the workflow's final or published state.\n\nCheck the document activity in the workflow dialog to view a report of workflow-related events and actions for a page or blog post.
